Our Status: I J Mortgage Solutions Ltd is an Appointed Representative of Stonebridge (Stonebridge Mortgage Solutions Ltd), which is authorised and regulated by the Financial Conduct Authority. As such, Stonebridge will also process your data for compliance and regulatory monitoring purposes.

  • Identity Data: Name, date of birth, marital status, gender.

  • Contact Data: Address history, email address, telephone numbers.

  • Financial Data: Bank statements, payslips, tax returns (SA302s), credit reports, debts, and income & expenditure details.

  • Employment Data: Employer details, length of service, business accounts (if self-employed).

  • Transaction Data: Details of products and services you have purchased from us.

  • Technical Data: Internet Protocol (IP) address, browser type and version, time zone setting, operating system and platform (via Google Analytics).

  • Special Category Data (Health): For insurance products (Life Insurance, Critical Illness, Income Protection), we may need to collect details about your medical history, smoking status, and lifestyle. We only collect this with your explicit consent for the purpose of sourcing insurance quotes.


3. How We Collect Your Data

We use different methods to collect data from and about you, including:

  • Direct Interactions: You may give us your data by filling in forms on our website (ijmortgages.co.uk), or by corresponding with us by phone, email, video call (Zoom/Teams), or in person.

  • Third Parties: We may receive data about you from estate agents, solicitors, or lead generation websites where you have given your consent.

  • Automated Technologies: As you interact with our website, we may automatically collect Technical Data about your equipment and browsing actions using Google Analytics cookies.


4. How We Use Your Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Performance of a Contract: To assess your eligibility, source a suitable mortgage or insurance product, and submit applications to lenders/insurers on your behalf.

  • Communication: To contact you specifically regarding the progress of your case, your mortgage offer, or your insurance application.

  • Legal Obligation: To comply with the Financial Conduct Authority (FCA) regulations and Anti-Money Laundering (AML) laws.

  • Legitimate Interests: To run our business, keep our records updated, and use data analytics (Google Analytics) to improve our website and customer experience.


5. Who We Share Your Data With

We may have to share your personal data with the parties set out below for the purposes set out in Section 4:

  • Stonebridge (The Network): As our Principal firm, Stonebridge has access to our client files for compliance, file checking, and regulatory monitoring.

  • Lenders and Insurers: To obtain decision-in-principles, mortgage offers, and insurance quotes.

  • Technology Providers:

    • Mortgage Brain: Our Customer Relationship Management (CRM) system where your files are securely stored.

    • Google Analytics: To track website traffic and usage (this data is anonymised where possible).

  • Professional Advisers: Solicitors, conveyancers, and surveyors necessary to complete your property transaction.

  • Regulators: The FCA, the Information Commissioner’s Office (ICO), and other authorities who require reporting of processing activities.

We do not sell your data to third-party marketing companies.

6. International Transfers

We do not transfer your personal data outside the UK or the European Economic Area (EEA). If a specific lender or insurer requires this, we will inform you separately.

7. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way. We limit access to your personal data to those employees, agents, and other third parties who have a business need to know.

Your data stored within Mortgage Brain is protected by industry-standard encryption and security protocols.

How long will you use my personal data for? We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

  • By law (FCA regulations), we must keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for a minimum period after they cease being customers. This is typically 6 years for standard mortgages, but may be longer (e.g., indefinitely) for certain transfers or insurance products, in line with Stonebridge’s retention policy.


9. Your Legal Rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to:

  • Request access to your personal data (a "Data Subject Access Request").

  • Request correction of the personal data that we hold about you.

  • Request erasure of your personal data (Note: We may not always be able to comply with your request of erasure for specific legal reasons regarding FCA record-keeping requirements).

  • Withdraw consent at any time where we are relying on consent to process your personal data.
